To track your organization’s license usage, navigate to Licenses in the Site Config area.

The Licenses screen displays the current licensing data for your account. If you see any errors or inconsistencies, please reach out to your Client Account Executive for a detailed audit of your account.

The top of the screen displays the following information about your organization’s license consumption:

  1. Current License Period defines the start and end dates of your current licenses. Your contract may cover one or more license periods. If you have questions, reach out to your Client Success Manager (CSM).
  2. Days Remaining indicates the number of days remaining until your current license period ends. If your contract goes beyond your current license period, the number will reset to 365 when your license period refreshes. When your license period has fewer than 30 days remaining, a blue exclamation point icon appears. If your contract ends, this changes to Days Past Renewal and a red exclamation mark displays next to the number of days past your contract expiration date
  3. Purchased displays the total number of licenses you purchased for your users. This number stays fixed through the life of your contract. It’s meant to help you track your license usage—compare it to the number of your consumed licenses.  
  4. Consumed displays an up-to-date number of licenses that your users have consumed. A license becomes consumed when a user engages with learning content for the first time. Use this number to ensure that you have a sufficient number of licenses left for the remainder of your license period.
  5. Available displays the number of licenses that remain unused in your current license period. When fewer than 10% of your licenses remain, a blue exclamation mark displays next to the number of available licenses. If your licenses dip below “0” and you continue to consume licenses, a red exclamation mark appears next to the number of licenses you’ve consumed beyond your contract.  

Licenses Consumed Report

The Licenses Consumed report displays information about each user, including the specific piece of learning content the user accessed at the time of license consumption, along with the date. This report can be helpful when you want to know which users have consumed licenses and the content they’ve accessed:

  • Emtrain-hosted accounts: User information includes the user’s name, email, and Emtrain User ID.
  • LMS-connected accounts: User information includes the users’s SCORM ID, Emtrain User ID, and their name.

Users can continue to access the content for the life of your license period. For example, if 100 of your 500 users access content during the first week of your license period (for example, 1/5/2025-1/4/2026), your report will indicate 100 consumed licenses. These 100 users may access the content multiple times throughout the current license period, until 1/4/2026.

Search and Sort the Report

Use the date range dropdown menu to view current or past license periods. When you select a date range from the dropdown menu, the total number of consumed licenses for the selected date range will be displayed to the right of the menu. Alternatively, you can sort the list by any of the categories displayed (name, email, etc.).

Download the report

You can download the report as a .csv file. To do this, select the date range that you want data for, and then select the Download CSV button. Your report will download automatically.
