Working with the Users Table

The Users table displays all the employees in your User Roster along with their profile data. Find it by selecting the Users tool on the Manage menu.

Default Table Display

The Users table shows only Active users by default. Inactive and On Leave employees exist in your roster, but are hidden from view. Use the User Status column filter tool to add those users when needed. Read Searching & Filtering below to learn how to adjust which users appear in the table.

A message above the Users table shows how many users match the default filter settings. For example, Showing 90 out of 100 Results means 90 employees meet the filter criteria while 10 are hidden. Select Show all Results to clear all filters and display all employees in your roster.

The following columns appear in the Users table by default:

    • Groups (a list of Groups the user belongs to)
    • Emtrain User ID

If you want to change the columns in your view, refer to Adding or Removing Columns, below. Your browser will remember your column selections when you return, unless you switch to a different browser or clear your settings.

Searching & Filtering

Most of the columns in the Users table include tools at the top to help you find specific users. You can search within the data, or filter it by choosing from dropdowns or by selecting date ranges.

Search Fields: Columns with a search bar at the top let you find data within that column. For example, First Name, Last Name, and Email columns have search fields for finding specific employees. The Users table updates instantly as you enter search criteria to display the matching user(s).

Filter Options: Other columns let you filter the table data. 

Columns with limited options (like Yes/No fields) have a dropdown for selecting a single option for displaying the users who match your selection.

Columns with more choices (like User Status, US State, or Country) let you select multiple options at once.

Date columns (like Last Activity or User Created) allow you to filter by date ranges.

Combine multiple filters to narrow your results. For example, set Supervisor to “Yes” and the Hire Date to “Past Calendar Year” to find all supervisors hired in the previous calendar year.


Understanding Results Messages: The "Showing X out of Y Results” message above the Users table updates each time you search or filter the table data. The first number (X) shows matching rows, while the second number (Y) shows your total roster count.

  • Use the Show All Results link to clear all filters and see all of the employees in your roster.
  • Use the Show Default Results link to reset the table to its default display, which shows all Active users.

Sorting

You can sort the rows of the Users table data alphabetically or numerically. Columns that you can sort by have interactive headers that let you select the column and toggle between ascending or descending order. You can sort by one column at a time.

The column header styling indicates the current sort order. Ascending order displays a border on the top with an upward arrow. Descending order shows a border on the bottom with a downward arrow.

You won’t be able to search, filter, or sort on columns with custom fields added during your account setup. If you need to be able to work with data in any of your custom fields, use the file you download from the Users table. See Downloading User Roster Data for more information.

Adding or Removing Columns

The Users table includes columns for all user profile fields, organized into standard and custom fields, as well as system generated data, including:

  • Last Activity Date
  • Groups
  • User Created Date
  • Link to User Profile
  • Link to Activity Report
  • Emtrain User ID

You can adjust which columns appear by selecting the Columns button. This opens the Columns to Display panel.

Remove columns by selecting the "x" next to the column name. Add columns by opening the dropdown menu and select the columns you want to include. To add all available columns at once, select Select All.
Your changes apply immediately to the table.

Downloading the Users Table

You can download the roster data from your Users table via the Download CSV option. This will capture the data as it is displayed on your screen, based on your searching and sorting. Learn more in Downloading User Roster Data
