This article covers how to download user profile information from the Users table.
Downloading the roster is simple. Select the Download CSV button, above the Users table. Your CSV file will download immediately. The contents of the CSV will match what you see in the table on-screen, which is based on your search and/or filter criteria, your selected sort order, and which columns you’ve chosen to display.
If you need to download user data to update your Emtrain user roster, use the download option in the Import Roster Tool rather than the Download CSV button on the main Users page. Read more about Importing a Roster Manually.
Download a Complete Employee Roster
Downloading your complete roster provides complete user information for all of your employees. To download a complete roster containing all employee statuses—active, inactive, and on leave:
- Navigate to the Users table in Manage.
- Select the Columns tool to activate the Columns to Display panel.
- Choose the Select All option, which adds all of your columns to the Users table, then select the “x” to close the panel.
- To ensure that the table includes your full roster, select the Show All Results link above the table.
- Optional: Sort the data in the Users table, such as alphabetically by name, role, hire date, etc.
- Select the Download CSV button to download all displayed data. Your download will include all fields shown on your Users table display.

Download a Partial Employee Roster
Download a roster with limited data by sorting and filtering Users table data:
- Select the Columns tool to open the Columns to Display options.
- Adjust the columns in your view by selecting the Columns button. Remove a column by selecting the "x" next to its name. Add a column by activating the dropdown menu and selecting the column you want to include.
- Filter the data, if needed. Columns with a header that includes a dropdown, calendar icon, or contains “All” in a search field can be filtered.
- Optional: Sort the data in the Users table, such as alphabetically by name, role, hire date, etc.
- Select the Download CSV button to download the data displayed in your Users table.

Example: Downloading All Admin Users
Downloading your admin user list enables you to check who has access and remove permissions for people who don't need them anymore. Follow these steps to create your download:
- Choose the columns you want to include via the Columns tool.
- Essential columns to include:
- First Name
- Last Name
- User Status
- Emtrain User Role (this shows their Admin User Role)
- Under Emtrain User Role, select “Admins” from the dropdown menu.
- Sort sequentially by Last name or another column, or filter the data, if desired.
- Select the Download CSV button and your file will download immediately.
