CSV Sync Field

When you import your employee roster or segmentation data into Emtrain, you’re required to select a CSV Sync Field. Your sync field helps our system identify which user to update. If you have an Emtrain-hosted account, the system uses your sync field to determine whether to add a new user or update an existing one.

Selecting a Sync Field

Your available CSV Sync Field(s) depend on whether you have an LMS-connected or Emtrain-hosted account type:

  • Employee ID
  • Employee Email
  • SCORM ID (for LMS-connected accounts)

Emtrain-Hosted Accounts

Emtrain-hosted accounts have the option of using Employee ID or Employee Email as the sync field.

  • Employee ID (Recommended)
    We recommend using Employee ID as your CSV Sync Field because every employee typically has a unique ID. While many employees have company email addresses, hourly or field-based workers might not have one. Additionally, email addresses may be updated when employees change their first or last name.
  • Employee Email
    You can use Employee email as your CSV Sync Field if all email addresses in your roster are accurate and unique.

If your employees have the option to log in with either their email address or their Employee ID, we recommend using Employee ID as your CSV Sync Field. This is because Employee IDs are more stable over time, whereas user email addresses may change.

If your organization is changing email domains and using Employee email as your CSV Sync Field, you could run into duplicate profiles and errors. Reach out to your Client Success Manager (CSM) for help with this step.

Whichever CSV Sync Field you use, the information in the corresponding field in your import file must be accurate. For example, if you use an Employee ID as your CSV Sync Field, your file must contain Employee ID information for every employee.

LMS-Connected Accounts

SCORM ID will be your only option for your CSV Sync Field if you have an LMS-connected account and want to import additional user data for segmentation reporting in Emtrain Intelligence.
