Creating and Editing Static Groups

Groups are how you connect learners to your campaigns. You build a static group by adding learners manually. This differs from a dynamic group, which adds learners automatically based on rules you define.

Once you create a Static group, its group membership won’t change unless you make edits to the group. Read about Editing a Static Group, below. 

Why Use Static Groups?

Static groups are helpful if you want to assign training to a small group of employees, a test group, or specific individuals. For example, you might want to set up a small group of select people for a test campaign. Alternatively, you might want to edit a static group created for manager training by adding a newly promoted manager to promptly complete their required training.  

Creating a Static Group

To begin creating a new Static group:

  1. Select the Add Static Group button above the Groups list.
  2. Give your new group a name.
  3. Select the Save button. This will save the group and load the screen for adding members to the group.

Add Members

Next, build your group by adding members to it from your user roster. To add members:

  1. Search for the first user you want to add using the Search field under Group Members. To search, type a first name, last name, Employee ID, or email address. As you begin typing, potential results will appear.

  2. Select the user that you want to add from the search results.
  3. Add them to the group by selecting the Add to Group button. The user will appear in the group members list.
  4. Repeat this process to add as many users to the group as you’d like.

By default, users are displayed in the group members list according to the order in which they were added to the group. This means that the user who was added most recently appears on the top of the list.

Members of your static group are displayed in a table at the bottom of the screen.

Tools at the top of the table help you find specific users from the list:

  • Search: Use the search bar at the top of the First Name, Last Name, Employee ID, and Email columns to find a specific employee. The table updates instantly as you enter search criteria to display the matching group members.
  • Sort: You can sort the rows of the table by clicking on any of the column headers. The column header styling indicates the current sort order. Ascending order displays a border on the top with an upward arrow. Descending order shows a border on the bottom with a downward arrow.  

Remove Members

You can remove members from a Static group, if you add someone you don’t want to keep, or if you duplicate a group and want to remove some members. To do so:

  1. Find the user that you want to remove in the group members list.
  2. Select the delete icon (garbage can) to remove them. You will be prompted to confirm your choice. Note that once you delete a group member, you can’t undo the decision.  
  3. Repeat this process to remove as many users from the group as you’d like.

Download the Group Members List

You can download the list of users in a static group. To do so, select the Download CSV button that appears above the group members list table. Your file will immediately download.  

Duplicating a Static Group

Another way to create a new Static group is by duplicating an existing group, then adding members to it, or removing members.

To duplicate a Static group:

  1. Find the group that you want to duplicate in the Groups list.
  2. Select the duplication icon (two overlapping pages with a plus). A confirmation pop-up will appear.
  3. Confirm that you want to proceed, by selecting the OK button. Alternatively, if you do not want to proceed with the duplication, you can select the Cancel option.
  4. Rename the group that you created. Note that the duplicate group will have the same name as the group you copied, with “copy 1” at the end of its name.
  5. Select the Rename button to save the group's new name.
  6. Proceed to update the group's membership as needed.

Editing a Static Group

You can edit a Static group, including changing the group name and adding or deleting members. Do this by finding the group that you want to duplicate in the Groups list and selecting the edit icon (a pencil).

Remember that when you create a Static group its membership doesn’t change unless you manually edit it. If you want users automatically added and removed from a group based on their profile data, consider using a Dynamic Group instead.
