Campaigns are your central training management tool, enabling you to create and deploy meaningful training for employees. This article explains how campaigns work and prepares you to create a campaign.
Campaigns are a feature of Emtrain-hosted accounts. If you have an LMS-connected account, you manage training through your LMS.
What Are Campaigns?
Campaigns are containers that hold and deliver the training content that you deploy to learners. When you need to launch a staff training program, you create and launch a campaign. Each campaign contains content and settings that you configure, and these settings dictate how the campaign runs. Think of Campaigns as the control center for your employee training and development program.
You access Campaigns via the Manage menu, as long as your admin privileges include Campaigns. This is where you’ll draft and manage campaigns, and where all of your campaigns are stored.
Why Campaigns Matter
Campaigns give you strategic control over your training initiatives and ensure that employees receive the right training at the right time. When you set up a campaign, you can target specific content to relevant employee groups, set appropriate timelines, and track progress—all while meeting compliance requirements and supporting your organization’s professional development goals.
How Campaigns Deliver Training to Learners
Campaigns automate training delivery by combining your user data with group rules to target the right learners, then using scheduling, messaging, and content assignments to deliver training automatically.
Here's how it works: Your user roster contains employee details like department, role, and location. You use this data to create rules that automatically sort users into Dynamic groups. Then you tell each campaign when to send assignments, what messages to include, and which content to assign. Once configured, campaigns run independently and deliver training to the appropriate learners based on your setup.
The key to successful campaigns is accurate user data. When information is outdated or group rules have issues, the wrong people can receive training assignments. Configuring the Emtrain HRIS integration is the most reliable way to keep your data current and ensure campaigns work as intended.
Types of Campaigns
We offer two campaign types, Scheduled and Open. You’ll pick one based on your training timeline and which employees you want to take the training.
Scheduled Campaigns
These campaigns have fixed start and end dates. Choose this type when you want all learners to complete their training by the same end date, like annual compliance training. Learn more about Scheduled campaigns in Campaign Types.
Open Campaigns
These campaigns have a flexible timeline based on duration. Choose this type when you want learners to have a set amount of time to complete training regardless of when they start, like new hire onboarding. You specify how many days learners have to complete the training (such as 15 or 30 days), but not a specific end date. Open campaigns stay active until you end them. What’s Inside a Campaign?
Campaigns are made up of three key ingredients—content, groups, and notifications.
- Content is the heart of your campaign and the basis for employee learning. To add content to a campaign, you select what works best to meet your professional development goals, and compliance requirements from our Content Library.
- Groups are how you connect employees to campaigns. When you add groups to a campaign, you select which employees will receive the training assignments, ensuring you reach the right employees for your training initiative. Learn more about Groups.
- Notifications are how you keep learners aware of their assignments and due dates. When you set up notifications, you create email communications that guide learners through their training journey. Campaign Settings
Beyond the three key ingredients of content, groups, and notifications, you’ll configure additional settings that control how your campaigns function. These settings help you manage campaign timelines, set due dates, and determine whether content appears to learners in a specific sequence.
