On Leave Status

Set an employee to on leave so that they do not receive assignment notifications or reminders about their assignments. Though they are on leave, users can still log into Emtrain and access training, or reset their password, if needed. If you assign new training to the learner during their leave, they won't be notified about it.

On leave status can be helpful for users who will be gone for only a short period. It’s also relevant for users who’ve completed a portion of their assignments prior to their leave, and want to pick up where they left off upon return. 

For learners who take a lengthy leave, it might be more productive for them to redo the whole training from the start, rather than pick up on a partially completed assignment. In which case, you would create a new training and reassign it to the learner.

Campaign Notifications & Due Dates

Campaign notifications and due dates are affected differently by On Leave status depending on the campaign type:

  • When an on-leave user returns to Active status:

    The training assignments due date is adjusted, based on the duration of the user's absence. For example, if the learner was on leave for 15 days, the system extends their due date by 15 days.

    The system sends out rescheduled notifications, adjusted to the length of the user’s leave. For example, a notification scheduled for “two days before due,” will go out two days before the newly adjusted due date.

  • Due dates and notifications remain fixed to the campaign schedule after users return from on-leave status:

    Users receive any remaining scheduled notifications for the campaign upon their return, including reminders, past due, or completion. These notifications are based on campaign scheduling, not the user’s return date or leave duration.

    If a returning user was on leave during the entire campaign period and all notifications have already been sent, the user won’t know about the training assignment. The training is available to them, but you’ll need to inform the user about their assignment once they return.
