Writing Checklist for Notification Messages

Use this checklist to guide how you draft your communications to learners to keep them aware of their training assignments and engaged in learning.

If you have an Emtrain-hosted account, you’ll communicate with learners about their training assignments via Campaign notification messages. If you have an LMS-connected account, you’ll use email, your LMS, or another method.

Some admins find it helpful to refer to sample messages—use our Notifications Templates to get started, then add your ideas.

Does the Welcome notification…

  • Communicate the importance and reasoning behind the training campaign so that learners understand why the training matters to them and why it's a priority for you?
  • Focus on workplace culture reasons rather than compliance to show employees that you care about them more than just "checking the box"?
  • For Scheduled campaigns, does it share the due date?
  • For Open campaigns, does it note the duration of the training?

Do the Reminder Notifications…

  • Contain unique ideas that avoid sounding repetitive—and easy for learners to overlook?
  • Contain a sense of urgency that builds with each subsequent message? 

Are the Past Due Notifications…

  • Direct and concise, explaining the follow-up process that will take place for training delinquency?
  • Clear about follow-up reporting, such as notifying a supervisor if the training isn't completed?
  • Specific about consequences, such as a meeting with the Legal Department, to motivate quick completion?

Does the Completion Notification…

  • Communicate any actions you want learners to take post-completion, such as completing an internal survey or submitting the completion certificate to a particular department or person?
  • Congratulate and thank employees for their part in upholding company values and contributing to a positive workplace culture?
