The Groups List

The Groups list contains all of the groups that you’ve created for campaigns. From here, you can manage your existing groups or add new ones.

Find a group in the list by typing its name into the search field and/or or filtering the list by type to just show static or dynamic groups. You can also change the sort order of the list by clicking on the Group name or Type column headings.

The All Users Group

Your Groups list includes a default group, the All Users group. It contains all active users on your company roster. Even if you haven’t yet created a group, the All Users group will exist in your Groups list. It’s not a Static or Dynamic group type—instead, it’s a “Roster” group type, which you can use to assign training.

The name of the group includes the words “All Users” in addition to your company name, for example: Acme Corp All Users. You cannot view or edit the All Users group. Inactive users aren’t included in the All Users group.

Adding Groups

Add a new group by selecting the Add Dynamic Group or Add Static Group button above the list. After creating a static group, you can add individual learners to it. For a dynamic group, you’ll be prompted to set up the group’s membership rules.

Editing Groups

Edit an existing group by selecting the pencil icon next to the name of that group in the Groups list. From there you can add or remove group members (Static group) or update the group rules (Dynamic group).

Duplicating Groups

Create a new group by duplicating an existing group that has group members or rules that you want for a new campaign. Do this by selecting the duplication icon (two overlapping pages with a plus). You can duplicate either a Dynamic and Static group type, which will create the same type of group. For a duplicated Static group, you can remove members, or add them by selecting them from your user list. If you duplicate a Dynamic group, you can modify its rules in the new group.

Removing Groups

It can be helpful to remove groups if your list becomes cluttered with groups that you no longer use. For example, you might want to clean up your list by removing old groups from a prior year.

Example You had a group for users in the state of Illinois, called "Illinois." When a new law affecting Chicago employees requires different training, you created two new groups, called "Chicago-Only” and "Illinois-Outside-Chicago" to manage their distinct training needs. When cleaning up your groups list, you decide to remove the original "Illinois" group, since you’ve replaced it.

Remove a group by selecting the garbage can icon for the group you want to remove from the list. The system will determine if the group can be deleted or can only be archived, as described below.

Groups that can be deleted are groups that were never associated with an active campaign nor an Admin User Role. If the group can be deleted, the system prompts you to confirm the deletion by selecting OK.

Deleting a group is permanent and cannot be reversed.

Groups that cannot be deleted are groups previously associated with an active campaign or Admin User Role. If the group cannot be deleted, the system displays an explanation and gives you the option to archive it.

Once you confirm by selecting the Archive button, the group is removed from the main list and added to the list of archived groups. To access archived groups, select View Archived Groups above the main groups list. You can always restore an archived group, which returns it to the main list.

Regardless of whether a group is deleted or archived, it will no longer be available for selection when setting up a Campaign. Learn more about using Groups in a Campaign.
