The User Assignments List

The User Assignments list shows the training history for an individual learner based on the content you’ve assigned to them.  

You can view a learner’s current progress and past training activity, including completion dates and duration of participation in courses and lessons. You can also download Completion Certificates for individual learners from the Assignments list.

LMS-connected accounts have limited User Assignments List functionality. The list displays individual lessons but doesn’t indicate when they are contained in a Course. Additionally, Course Completion Certificates are not available.

Why Use the Assignments List

Use the Assignments list to access detailed information about each learner’s training progress and identify who needs assistance completing their assignments.

  • Monitor Training Progress
    Track detailed information about time spent and content accessed to understand why assignments remain incomplete. You can use this data to provide targeted support to learners who need assistance.
  • Support Documentation Needs
    Generate training transcripts and download course Completion Certificates for record-keeping, auditing, or other administrative requirements.
  • Verify Training History
    Review training records to verify what a learner has been assigned and what they’ve completed so that you can provide accurate, relevant information in communications to employees.

Accessing the User Assignments List 

There are two ways to access the User Assignments List:

  • Access the data through a learner’s profile if a learner contacts you about their training. For example, if Juan has questions about his harassment prevention training content, you can quickly find his specific assignments and progress through Juan's user profile.

    To view learner activity by an individual learner:

    1. Navigate to the Users Table.
    2. Find the user whose training activity you want to view, and select View Profile from that user’s row.
    3. Scroll down to the Assignments area of the user’s profile.
  • Access the data through the completion report to view course progress and investigate a learner’s details. For example, when checking completion rates for annual ethics training, you might notice Julia is behind schedule. From the report, you can select Julia's record to determine what support she needs to complete her assigned training.

    To access learner activity via the completion report:

    1. Navigate to the Reports area in Manage.
    2. Run a Completion Report (either by Campaign or by Content).
    3. Find the user whose training activity you want to view, and select View Profile from that user’s row.
    4. Scroll down to the Assignments area of the user’s profile.

User Assignments List Overview

The User Assignments List displays a row for each piece of training content assigned to a learner.

Each row includes the following information:

  • Content Title: The name and type of content assigned to the user.
  • Assignment Status: Shows whether content is completed, in progress, or not started.
  • Content Completed: Displays the completion percentage.
  • Minutes spent: Provides the number of minutes the learner has spent on the content.  
  • Completed Date: Shows when the content was finished, with access to a completion certificate (if one is configured for the course). A completion date is not available for lessons or microlessons).   
  • Campaign: The name of the campaign delivering this content.*

You may add additional columns, including:  

  • Content ID: Provides the code that maps to content in the Content Library.
  • Assigned Date: Shows when the learner received the assignment.*  
  • Start Date: Indicates when the learner first accessed the content.
  • Due Date: Shows when the learner was required to complete the training.*

* These fields will be blank if your account is LMS-connected, or if the learner accessed the content through a shared link on an Emtrain-hosted account. Learn about account types and sharing content in Understanding Account Types and Sharing Content without a Campaign.

Working with Course Details 

Course details show where an individual learner may be stuck in their assigned training. For example, if someone believes they’ve completed a course but hasn’t, you can identify which specific lesson they missed or where their training stalled.  

Follow these steps to expand course details:

  1. Select the course name from the Content Title column. Course names appear in blue as selectable links.
  2. Once you select the course name, a pop-up window will appear displaying all lessons that make up the course, along with the user’s progress for each lesson.

You can only expand courses to view more details (not lessons or microlessons).

Downloading Learner Transcripts

Learner Transcripts display all content assigned to a user. For completed assignments, the transcript displays the completion date. For incomplete assignments, the transcript shows the learner’s progress as of the time the transcript was downloaded.

You can download a learner’s transcript by selecting Download Transcript from the Assignments area of their profile. This creates a PDF file, which downloads automatically. 

Downloading Completion Certificates

As an administrator, you can download an individual learner’s training certificate for completed courses if a certificate is configured for the course. You might need this when adding certificates to employee files or when providing copies to employees who haven’t saved their own certificate. (Learners can also download their own certificates after completing a course.) 

To download a Completion Certificate, select the blue star icon located next to the completion date in the Completed Date column. The certificate will immediately download.
