You might need to assign a piece of content to another user as a one-off training outside of a campaign, whether to an admin or a learner. You can do this by sharing content via the Content Library.
Only Emtrain-hosted accounts can share content using the method described in this article. If you have an LMS-connected account and you want to share content, you will need to share it via your LMS. For instructions about how to download content for use in an LMS, read Downloading SCORM Files.
If you need to preview content prior to deploying it to your employees, read Previewing Content.
What it Means to Share Content
Most users on Emtrain-hosted accounts receive training assignments via campaigns, but you can also share content with users outside of campaigns. As long as they are on the account, you can share individual pieces of content with them. This approach works well when you want to assign training on a specific topic without setting up and configuring a campaign.
When you share content this way, the user doesn’t receive campaign notifications, there isn't a formal due date, and the learner an choose to remove the assignment from their To Do list without completing it.
Once a learner accesses the content via the link you share with them, it will appear in your content completion reports. The data collected from question cards in the shared content gets recorded and included on Insights Reports and in Emtrain Intelligence.
How to Share Content
To share a piece of content:
- Navigate to the Content Library.
- Locate the content that you want to share. For information on how to search for content, read Finding Content in the Content Library.
- Select the title card for that content, which opens the Version Details Page.
- Use the version dropdown to choose the version that you wish to select the content you wish to share.
- Select Copy Link to Training, which copies the link.
- Paste the link into an email or your company’s messaging system to share it.
How Users Access Shared Content
When users access the link you shared with them, the training is added to their To Do list under the heading Shared with Me, which they interact with in Learner mode. The training is listed separately from their mandatory training content.
Users can review the content you shared when they choose to—there is no due date. Once they complete the assignment, it moves to their Completed list. If they don’t want to complete it, they can remove it from their To Do list by clicking the “x” in the upper-right corner of the assignment.
To access shared content, the individuals must be active on your user roster—they must be able to log into your Emtrain account.
