Managing Policies

This article explains how to identify when company policies are required in your training content and how to configure, update, and preview those policies in the Content Library for both Emtrain-hosted and LMS-connected accounts.

Some training assignments include company policies that employees must review and acknowledge. This supports your compliance documentation and helps you fulfill your state and local requirements.

If you have an Emtrain-hosted account type, the system will prevent you from deploying campaigns without a configured company policy when a piece of content requires one. 

If you have an LMS-connected account type, you are able to download a SCORM file before configuring a required policy, but your learners won’t be able to complete training until the policy is configured.

Determine if a Policy is Needed

If you’re unsure whether the content requires a policy, select your desired version and review the content details. If the Manage Policies option appears, then at least one policy is required.

A pink alert bubble next to Manage Policies means you must configure your policy. Hover over the bubble to learn exactly how many policies are needed. No pink bubble means a policy is already configured, but you can review it to ensure it’s current. 

How to Configure Required Policies

Content that requires a company policy contains Policy Cards for you to configure. Take these steps to upload or link to your company policy:

  1. Navigate to the Content Library and locate the content you wish to configure.
  2. Select the title for that content, which opens the Content Details Page
  3. If the content has multiple versions, use the version dropdown to choose the one that you wish to add a policy to.
  4. Select Manage Policies and locate the policy you want to configure.
  5. Select a Policy Type: PDF (recommended) or Link.
  6. Select the Choose a File option if you’re attaching a PDF. Enter a URL if you selected the link option.

  7. Select Save after you've uploaded the PDF or entered the URL.

Our system is optimized for PDF files. If you have an LMS-connected account, use the file upload option for the best user experience. If you have an Emtrain-hosted account, upload a PDF file or a link to your company policy if it’s located on your company Intranet.

Optional Changes

The policy acknowledgement card will display a default Title and Instructions to learners. You may wish to edit these to align with your company language when you configure your policy. Each field is limited to 255 characters. Select Preview to see how the policy card will appear to learners.

Updating Configured Policies

We recommend using your most current company policy in training assignments. To update a previously configured policy, first select the trash icon to remove it. Then follow the steps the system provides to configure your new policy.

If you decide to change from a Link to a PDF or vice versa, a message will appear for you to confirm removal of the current policy. Select Yes to proceed.

Previewing Configurations

You can preview how your company policy appears to learners by selecting the Preview link to access the policy card. This launches the lesson in preview mode, and takes you directly to the policy card. 

When to Configure Your Policies

The best time to configure company policies is when you are evaluating content in the Content Library to include for future training. Emtrain-hosted accounts should add company policies to content before adding the content to a campaign and we recommend LMS-connected accounts configure company policies before downloading SCORM files.
