Once you've deployed training to your learners, your focus shifts to monitoring how things are progressing. This article explains the various actions you can take to track learners’ progress.
If you have an LMS-connected account, you can access two types of data via Emtrain: Insights Reports and Emtrain Intelligence. You manage everything else via your LMS.
Reporting
With assignments underway, you can keep tabs on how everyone's doing and gather valuable insights about your workplace culture from learner responses.
- Monitor assignment progress via users assignment status and by running Completion Reports. We recommend running a campaign type Completion Report on a weekly basis and follow up with learners as-needed if you notice delays.
- Download a Content Completion Report if you’ve assigned compliance training for your records once the training period is completed.
- Access learners User Assignments List to understand how specific learners are progressing through their assignments. You do this directly from each user’s profile. Also review the User Activity Log for a user, which provides detailed snapshots of user movement in Emtrain.
- Review the results of learners’ answers to the question cards that appear in training via Insights Reports. While you can review the results at any time, we recommend waiting until a campaign is at least 80% complete before analyzing its results.
- Go deeper into reporting data with Emtrain Intelligence.
User Management
Keeping your user roster current is foundational to maintaining compliance and meeting your training goals. Your user data drives which groups users belong to and what assignments they receive.
- Add new employees to your Emtrain user roster as you onboard them. If you have already configured the Emtrain HRIS connection, this will happen automatically. If you haven’t yet integrated your HR System of Record, add new users manually or by importing your user roster.
- Deactivate or delete user profiles when employees leave your organization. Do this in bulk by updating their user status on the user roster. Remember: Excluding an employee from your user roster upload does not deactivate them.
- Add new information to the user roster, if needed, by providing new columns as you prepare your roster for import—abiding field formatting guidelines. Be sure to map the new fields when you import.
- Manage your admin team by adding new admins when appropriate or limiting access from former admins. Keep in mind you can set permissions for Admin Users.
Assignment Management
Active monitoring of assignments helps you keep training momentum going and address any issues that arise during the training period.
- Monitor assignments that require approval if you’ve enabled Assignment Approvals for your campaign(s). This feature requires your manual approval before assignments are given or removed as users move into or out of Groups.
- Send additional reminders for approaching due dates or overdue assignments by including learners’ manager in your follow up communications. You might need to add email notifications to your active campaign.
- Close campaigns when you no longer want them to issue new assignments. This allows current learners to complete their training while preventing new assignments from being issued. Scheduled campaigns move to Closed automatically on their end date.
