Standard Configuration Options
Your account has standard configurations which you can access in Manage. Options include:
Types of Tailoring and Client Custom Projects
- Predetermined Tailoring
- Full Card Editing
- Custom Client Content
- Collaborative Emtrain Content
Predetermined Tailoring
This tailoring allows for targeted modifications to pre-existing content. You can update specific course introductions, change the order or selection of lessons, revise policy and acknowledgement cards, and integrate company mission or values into courses like the Code of Conduct.
Full Card Editing
This service offers customization and editing for individual cards within training content. You can add, remove, or reorder existing lessons, and edit the text content of a card. However, adding or changing custom images or videos is not included.
Custom Client Content
Partner with Emtrain to develop a new custom course from your own materials and assets. This service is ideal for adapting internal training with Emtrain's team handling the design and development, all based on your provided resources. Access to Emtrain experts is not included.
Emtrain Content
Partner with Emtrain's experts to jointly create or update an Emtrain course. This collaborative process includes content planning, development, visual design, and publishing for anything from building a new course from scratch or making major revisions.
Customization Guidelines
Customizations involve adding, editing, reorganizing, or deleting cards. There are multiple card types that consist of text only, text with images, video cards, and interactive question cards.
Emtrain will make content customizations based on a scoping template or completed form.
Customization Process
- Submit Intake Form
- Emtrain provides client with a template or form to fill out with desired edits
- Client marks up template or form and sends back to Emtrain
- Emtrain determines final scope and cost
- Client approves of final scope and cost and an SOW is generated for Client signature
- Client’s customized content goes into production
- Client completes Content Review Cycle
- Client provides Final Content Approval
- Emtrain publishes Client’s customized content to their content library
- If SCORM, clients repeats steps 6-7 through a SCORM Technical Testing Cycle.

Using the Customization Scoping Workbook for Customizations
Our content is provided in a dedicated Customization Scoping Workbook designed to help you accurately capture your desired content edits. All content changes must be provided by you. Emtrain does not provide nor write alternative text options for standard customization requests. Emtrain is not responsible for reviewing replaced text for grammatical or spelling errors, nor does Emtrain provide a legal review of requested edits.
Guidance for the Customization Scoping Workbook:
- Content Customization Edits Sheet: This is where you make the actual content edits. Its structure aligns with the course content for ease of use.
- Revision Tracking Sheet: This separate, accompanying sheet is for managing the back and forth between Emtrain and client.
Step-by-Step
- Open your Content Customization Edits Sheet and the corresponding course preview to have a visual reference of each card layout.
- As you navigate through the course preview, review the content within the template sheet to identify any desired edit changes. The template is structured to mirror the course content, making it easy to locate specific sections.

Provide your content edits by filling in the required fields directly within the designated editable columns/cells of the template sheet.
Please ensure the following fields are accurately completed for each requested edit:
- Card Edit #: A unique identifier for each edit request
- Type: e.g., Text Edit, Image Change, Layout Adjustment
- Course Name & ID: e.g., Empathy at Work, ID 4021
- Lesson Name: The specific lesson within the course
- Card #: The small numbers in the bottom left hand corner of the card. e.g., 1234.4568.12345
- Image Screenshot: If applicable, a screenshot of the card/area being edited
- Location URL/ Numbers: Specific URL or internal page numbers to pinpoint the location of the content
- Original Text: The exact text currently in the course content
- Requested Text: Your proposed new text or content
- Status: e.g., Pending Review, Approved, Rejected - this may be for internal Emtrain use or for client tracking
- Additional Consult Notes: Any questions, concerns, or additional context for Emtrain

Simultaneously, please update the associated Revision Tracking Sheet. This sheet is vital for transparently tracking the hand-off and review cycles between your team and Emtrain. Ensure you accurately record the date of submission, who submitted it, and any relevant notes in the Revision Tracking Sheet. It should include fields to log.
Please ensure the following fields are accurately completed for each requested edit:
- Version Number: The version number of the Content Template Sheet being exchanged.
- Date Sent (to Client): When Emtrain sent the Content Template Sheet to the client.
- Date Received (from Client): When Emtrain received the marked-up Content Template Sheet from the client.
- Pass Notes: Brief notes summarizing the purpose or content of this particular exchange/pass.
- Status: The current stage of the revision process (e.g., Sent to Client, Awaiting Client Review, Client Feedback Received, In Progress - Emtrain, Ready for Client Review, Approved, Completed).
- Key Revisions/Changes Requested: A high-level summary of the main changes or requests in this version.
- Comments/Notes: Any additional details, questions, or context pertinent to this revision pass.
- When your markup is complete, save the file, changing the file name to include your Organization name and the current date (e.g.,
[company name]_[date]_Content_4021_ Empathy at Work_v1.1.0).

- Lesson Card Types: The various card types are listed and shown as examples of what could be used if content is being added to the training.
- Content Submission Guidelines: Specifications when submitting content to be added to a lesson or course.
Common Questions
Are certain lessons designed to comply with state laws? While we consider that the first lessons in the course as foundational, material is included throughout which satisfies different state requirements.
If I add/edit a question, will poll results be available? Should you choose to add or edit a dialog card, that card belongs exclusively to your account and as such, no other account would view that card. It would calculate "My Org" data but the Global data would be absent.
If I choose to edit content, will my course remain compliant? Any edits Emtrain makes to shared cards would automatically be included in your course. Any cards which are exclusive to your account would not be automatically updated. Any cards which Emtrain adds would not be automatically added.
Can I apply all of the edits in one script to all other course scripts? At minimum, there are slight differences between each of the courses. The work associated to apply edits from one script to others will be billed as part of the customization cost.
Can we use the questions but remove the “My Org” data? Yes, the “My Org” results information on the response cards can be turned off at the account level.
