Get a head start on implementation by gathering important information and familiarizing yourself with key topics. This guide helps you prepare assets, coordinate with your IT team, and plan your training calendar and communication strategy—making onboarding faster and easier once your account is activated. 

Your Implementation Manager will then guide you through the onboarding steps needed for a successful launch.

Technical Set-Up and Configuration

SCORM Files (LMS-Connected Accounts Only)

To preview how Emtrain content appears and functions for learners in your LMS, use the SCORM Test Course. This course demonstrates all the interaction types your training content may include.

Allowlist information

It is important to ensure learners can access all elements of the training. Share the allowlist information with your IT Department so they can review the necessary configurations.

Single Sign-On (SSO)

SSO allows learners to easily access Emtrain through your SSO dashboard instead of using a separate username and password. Share the configuration guide for the SSO your company uses with your IT team so they can plan for integration once your account is created.

We recommend completing this integration prior to deploying your first training, if you plan to use an Emtrain-hosted account. Your Implementation Manager will work with you and your team to ensure this is configured properly.

Emtrain HRIS Integration

Enabling automatic updates of your employee roster by using the Emtrain HRIS Integration saves you time and ensures your data is up-to-date and accurate. 

While this integration does not need to be completed prior to launching your first training, feel free to begin coordination with your IT department beforehand. 

Assets and Data to Collect

Your Company Logo

Your company logo will display in the learner’s view, no matter what account type you will be using. Review the required image specifications. If your logo doesn’t meet these specifications, work with your design or marketing team to make adjustments. Once your Implementation Manager activates your account, you can upload your logo.

Complimentary Introduction Cards 

For every course you deploy, Emtrain provides two optional complimentary Introduction Cards. Use these cards to help learners connect the training to your mission, values, and goals. Some Emtrain clients choose to include a video message from a senior leader, while others provide an image and text. You can include either two text cards or one text card and one video card. Download and complete this form if you’d like to include the introduction cards.

Policies

Many courses, such as Preventing Workplace Harassment and Code of Conduct, include your company policies for review and acknowledgement by learners. Once your Implementation Manager activates your account, you can upload your policies prior to deploying training. 

Policy templates are available on Emtrain.com in the Resources area, which you can use as a starting point for drafting a company policy from scratch. 

Employee Roster

If you have an Emtrain-hosted account, you need to prepare your employee roster. Work with your HRIS administrator to ensure you have the most current data for employees. Your Implementation Manager will work closely with you to ensure the first upload is formatted correctly and imports successfully. 

Demographic Segmentation for Risk Intelligence

If your subscription includes demographic segmentation, consider what fields you plan to segment your Intelligence data by. Work with your HR team to ensure the data is added to your roster as a one-time upload or via an Emtrain HRIS Integration. Learn more about Emtrain Intelligence

Plan Your Training Communications

An effective training campaign depends on clear messaging to your learners. Our Training Communication Strategy gives you a broad idea of different methods for communicating with learners. 

Use our notification templates as a guide for creating your emails. These work for both Emtrain-hosted and LMS-connected account types. Review our recommendations for the frequency of notifications. Use our notification template planner to select what and when to send them. 

Campaign notifications can be sent directly from campaigns to your learners on Emtrain-hosted accounts.
