Understanding how learners experience Emtrain can help you establish expectations and support learners when they need help. This article provides an overview of the complete learner experience so you can guide learners and partner with other admins effectively. 

Learner Mode

Learner mode is the interface that your employees use when they are working on their assigned training. As an admin, you can switch to Learner mode anytime to review the learner experience. 

How you access content depends on your account type. If you have an Emtrain-hosted account, you can experience content from a learner’s perspective in Learner mode as long as content is assigned to you. You can assign content to yourself via a campaign or using a shared link. If you have an LMS-connected account, you won’t access content in Learner mode. Instead, launch content through your LMS to experience it from a learner’s perspective.

How Learners Log into Emtrain

As an admin, it’s helpful to understand how learners log in. Depending on your account type, learners access Emtrain differently.

Learners’ login depends on your account type and which Learner login option was selected when your account was set-up.

  • Notifications

    For Emtrain-hosted accounts, learners will be notified when they have training assignments. They access their assignments in one of three ways:

    • Welcome Email via campaign notifications. This email is automatically configured with a button that sends users to the account URL. From there, they log in using their Email or Employee ID along with a password. If Single Sign-On (SSO) is enabled and learners are logged into it, they’ll enter Learner mode directly.
    • Internal email or community board posting. This is an email that includes a link to your account URL. The account URL follows this format: https://yourcompany.app.emtrain.com.
    • SSO link. This is an Emtrain tile within your SSO platform, if you have configured Single Sign-On (SSO) for your account.

    Login Methods

    Learners will need to log in when they have training assignments.

    1. Email & Password: If your account is configured to use Email for Login then learners will need to configure their password the first time they access Emtrain.

      Most learners will access Emtrain by selecting the link at the bottom of the Campaign Assignment email. The link will only be valid for 7 days, so it is important for them to understand that:
      • If they received the Welcome email less than seven days ago, they will see a screen that prompts them to create a password before they can proceed to the assignment.

      • If they received the Welcome email more than seven days ago, they will navigate to a login screen. From here, they select the Need help logging in? link and use the password reset to set up a password and proceed to the assignment.

    2. Employee ID & Default Password: If your account is configured to use Employee ID for Login then they will initially use the Default Password which you set up. After they input their Employee ID and the default password, they will be taken to a screen that prompts them to create a password. From there, they’ll proceed to the assignment.

    3. Single Sign-On: When your account has SSO configured, learners will typically launch Emtrain from your Single Sign-On dashboard. If they select the link in the notification emails, they may notice the validation process between Emtrain and the SSO provider occurring before they enter Learner mode.  
    4. Social Login: When your account has one of the social logins configured, learners can select the social login option from the login screen. Signing into their social account will give learners direct access to Learner mode.  
  • Notifications

    You notify learners about training via email or your organization’s preferred method of communication, whether through your LMS, company email, or another communication method.  

    Login Methods

    Learners will log into your LMS, and launch their Emtrain training content from there. Learners won’t log into Emtrain directly.

First Time Learner Experience

The very first time a learner accesses Emtrain training content, they experience a first-time welcome process. During future visits, they’ll experience the standard Emtrain learner interface.

The first-time welcome process goes like this:

  • Our Privacy Notice displays. The employee selects the “x” to acknowledge and close the notice.

  • Next, a Welcome message appears. It includes a video that provides an overview of Learner mode. Learners can access the Welcome video in the future via the Help & Support menu.

  • From there, learners can start their training. If you have an Emtrain-hosted account, learners will select the training from the To Do list. If you have an LMS-connected account, learners will select the content tile displayed in their Assignments panel. 

Learner Training Configurations

When learners are ready to start their first training assignment, they can configure settings to make the training more comfortable. Here are the configurations learners can make: 

How Learners Complete Training

If the training that learners are working through has a minimum time requirement, a countdown notification appears. This keeps learners aware of the amount of time they must spend with the course material. Learners’ training is complete only when they both complete the content and satisfy the minimum time requirement.

If the assigned training that learners are working through has enforce sequence enabled, they must work through the training content in the prescribed order. 

Whether or not enforce sequence is enabled, all learners must view each video that appears before advancing to the next screen.

Additional Options for Learners

In addition to working through training assignments, learners can take additional actions in Learner mode.

Engage with a Topic Expert 

Learners can access Ask a Topic Expert to ask questions about the training content. These questions are confidential. This provides a way for learners to get feedback on content-specific questions that come up during training. The record of their questions and answers is always available in their User Profile.

Request Support

Learners have access to FAQs and can contact Emtrain support directly to quickly resolve technical issues they might experience as a first line of support, rather than reach out to you.

View or Update Their Profile  

All Learners can view their profile information and update their preferred language. Learners can update their password if you have an Emtrain-hosted account.

Learners Can Access Completed Trainings 

If you have an Emtrain-hosted account, your learners can review a display of the previously completed training assignments. For assignments with completion certificates configured, learners can also download their certificates from the Completed tab in Learner mode.
